redesign of the
Beneficiaries Process
- UX Research
- UI Design
- Design System
Background
This project is a key process within a larger system that manages multiple budgets. The users are accounting professionals who oversee and manage these budgets. The process itself involves a hierarchy that includes beneficiaries, each of whom has associated institutions and entitlements. Each institution also has its own specific entitlements. This structure directly impacts the allocation or reduction of the budgets received or adjusted.
Challenges
Use of an outdated system,
not tailored to user needs or real-world conditions.
Solutions
A new system was designed from the ground
up, tailored to the users’ real needs.
Users were often unsure of their own
requirements and expectations.
User interviews conducted on interactive prototypes helped clarify expectations, define actual user goals, and validate the product’s direction
Large volume of information
without clear hierarchy
A clear hierarchical structure was established, breaking down each level into actionable key tasks to simplify navigation and decision-making
Reliance on Excel spreadsheets, with each user creating their own complex, customized version
Using AI agents, data from multiple Excel sources was cross-referenced and consolidated into clear, focused objectives, transforming scattered inputs into a unified, usable structure.
Examples from the old system
Hierarchical Diagram
After consolidating the data from various Excel files and conducting user interviews, we crafted a clear hierarchical diagram. This structure served as the foundation for the detailed UX specifications and screen design.
